Room Reservations

Notice

  • At this time, rooms can only be reserved by Social Sciences units for administrative use and research meetings. Due to high demand, we are not able to approve recurring meetings in our spaces at this time.

  • Please allow 1-2 business days for confirmation of requests.

  • Room usage hours are 8:00 a.m. to 4:30 p.m., Monday through Friday. 

  • Events involving alcohol must adhere fully to UC San Diego Alcohol Policy (with required approval forms signed/submitted in advance per the policy).

Policies and Procedures

  • Reservation requests must be submitted via our request form to ensure all required information is captured.
  • Scheduling for each new quarter opens up on the first day of the quarter prior to the one being scheduled, and no sooner. For example, the Winter 2024 quarter is not available for booking until the first day of the Fall 2023 quarter. This is to keep availability and access to the rooms open and fair.
  • A Project-Task is required at the time the reservation is made, along with contact information for the staff member responsible for the reservation. If you are unsure of this information, please work with your department staff to have them request the space on your behalf. The Project-Task will only be charged if there are violations to the meeting space policies and procedures. This individual is responsible for ensuring all guidelines are followed, and will be contacted directly when there are violations, problems or complaints.
  • Room must be completely reset and cleaned before you leave so that it is ready for the next meeting. Failure to do so will result in a facilities’ charge of $100 plus any expense incurred.  Charges will also result from equipment losses or room damages.
  • Please see the individual conference room availability calendars for the space that you would like to reserve.
  • You must include at least 30 minutes setup and breakdown time to ensure that you do not delay the next meeting. 
  • You are responsible for arranging A/V assistance, if needed.
  • If room equipment is broken, contact sscfhelp@ad.ucsd.edu.
  • Rooms are reserved on a first come, first serve basis.
  • Occasionally, we may need to reschedule a reservation. In the event this occurs, the original requestor will be emailed.
  • You cannot use a room without a reservation. If you are using the room during someone's scheduled time, you will be asked to leave promptly.
  • Social Sciences conference rooms are not intended to accommodate on-going formal, instructional coursework.
  • Access is provided only by UCSD One Card. A valid UCSD One Card identification card is required to access and use the space.
  • Violations of the guidelines above may result in loss of future use privileges and/or charges.

Small Conference Room, Public Engagement Building 520 (conference table with 24 seats)

  • Standard Configuration: conference table with 24 seats
  • Equipment: 2 TV screens, 2 Whiteboards, 1 Projector, retractible screen, 2 video input "cubby's" with HDMI and USB-C connections
  • View availability (subject to change: may not reflect pending requests)
  • Map to the Public Engagement Building, located in the North Torrey Pines Living and Learning Neighborhood/Ridge Walk Academic Complex

Large Conference Room, Public Engagement Building 721 (60 seats with desks), including Terrace and Kitchen

  • Standard Configuration: 60 seats with desks
  • Includes access/use of:
    • 7th floor terrace
    • adjacent galley kitchen
  • Equipment: 2 TV screens and 2 white boards, 1 Projector and drop down screen, HDMI and USB-C inputs
  • View availability (subject to change: may not reflect pending requests)
  • Map to the Public Engagement Building, located in the North Torrey Pines Living and Learning Neighborhood/Ridge Walk Academic Complex

Elman Conference Room, Social Sciences Building 107 (hollow square with 30 seats)

This space will not be available until 2026.

Dean's Suite Conference Room, Social Sciences Building 506 (conference table with 10 seats)

This space will not be available until 2026.

Black Studies/Yankelovich Center Conference Room, Public Engagement Building 201

The space for our Black Studies/Yankelovich Center Conference Room in PEB 201 is not managed by the Dean's Office. However, you may be able to request use of the space, email Gennie Miranda, gbmiranda@ucsd.edu, to inquire.

Climate Action Lab, Public Engagement Building 116
